Open Executive Board Positions
  • Vice President: oversees assigned committees and provides guidance and support to committee chairs throughout the year. When needed, they may step in to serve as a committee chair and will assist the President, including fulfilling presidential duties in their absence. This role may also take on additional responsibilities as they arise to support the overall work of the PTO.
  • Secretary: serves as the official record-keeper of the PTO by taking minutes at all meetings and maintaining accurate documentation. Responsibilities include managing and updating the PTO calendar, requesting agenda items prior to meetings, sending meeting reminders, finalizing bylaw amendments as needed, and preparing the monthly Sugar Hill Happenings newsletter.
*Please note: Executive Board members are expected to attend one in-person meeting per month during school hours at Sugar Hill Elementary.

Open Committee Positions
  • Membership: help welcome families into our PTO community by organizing the annual membership drive at Open House and our first General Meeting during Curriculum Night. This role includes collecting contact information, coordinating our membership database with the Secretary, and securing local businesses for our PTO membership/discount card. You’ll also help design and order the card prior to Open House.
  • Spiritwear: bring our school spirit to life by designing spiritwear, coordinating with vendors, and overseeing orders. You’ll help promote and sell spiritwear and major PTO events throughout the year, including Open House, Curriculum Night, select LFFNs, and the Talent Show.
  • Yearbook: support our school’s yearbook by working with the vendor, helping promote and sell yearbooks and 5th grade ads, and design support as needed. This role helps preserve the memories that students and families will treasure for years!
  • Volunteer Coordinator: partner with committees and school staff to identify volunteer needs and help recruit parents to fill those roles. You’ll help connect willing hands with meaningful opportunities throughout the year.
  • Penny Wars: lead this fun, school-wide fundraiser in March by organizing the event, selecting a prize for the winning grade level, and coordinating daily deposits during the fundraiser week to track progress and build excitement.
  • Color Run and End of Year Party Committees: the Executive Boards leads the planning and preparation for these events, and we’re looking for committee members to support us in making everything run smoothly.
    • Color Run: help with planning logistics, join a few pre-planning meetings over the summer, distribute prizes once fundraising starts, prep powder bottles before the event, and assist wherever needed to make our most colorful day of the year a success.
    • End of Year Party: support by coordinating volunteers, helping with setup, and ensuring everything runs smoothly on the day of the event. Committee members are expected to attend the parties; typical hours are 7:00am – 3:00pm.
*Please note: Committee Chairs are not required to attend monthly PTO meetings if their schedule does not allow. However, they will be asked to provide updates to their assigned Vice President prior to meetings, as needed.
